How to Setup the Dropbox Dash Connector for Smartsheet

Overview

Users can connect their Smartsheet account to Dropbox Dash, allowing them to access and search all of their Smartsheet content directly within Dash. This integration requires OAuth authentication to ensure that Dash only retrieves information relevant to the user’s data, giving them full control over what Dash can access. Dash strictly adheres to the OAuth model, meaning it only accesses the data users specifically permit.

Users can only connect to Dash if the integration has been approved and enabled by their Dash admin.

Team members must authorize access for Dash to connect.

How Dash uses the items
Sheets
Foundational component of Smartsheet where all the data lives. Dash gathers information about the sheet such as the title, summary, created, and updated time. Also includes any attachments associated with the sheet.
Reports
Reports are made up of multiple sheets. Dash gathers information about the reports such as the title, summary, created, and updated time. Also includes any attachments associated with the report.
Folders
Folders allow you to organize Smartsheet items (like sheets and reports). Dash gathers the name of the folders for search capabilities.
Sights/Dashboards
Dashboards are made up widgets and can be used to share information from reports with others. Dash gathers information about the dashboard, such as the title, created, and updated time. It also detects the name the reports used as widgets in order to power search capabilities.
Templates
Templates can be created from existing sheets to save time on creating new sheets. Dash gathers the name of the templates to power search capabilities.
Workspaces
Workspaces are shared spaces to collaborate around Smartsheet items (e.g. sheets and reports). Dash gathers the name of the folders to power search capabilities.

API usage

When connecting Smartsheet with Dropbox Dash, Dash will request the following scopes.

Allows Dash to retrieve contacts.
Read events
Allows Dash to read event data. This includes events related to changes or activities within Smartsheet. Examples of events are creation, update, load, and delete of sheets, reports, dashboards, attachments, users, etc.
Read sheets, including attachments and comments
Allows Dash to read all sheet data, including comments, attachments and cell data, such as attachments, columnType, cross Sheet References, discussions, filters, filterDefinitions, format, ownerInfo, permalink, etc.
Read dashboards
Allows Dash to read all sights (dashboards) data.
View basic user info, including name and email
Allows Dash to access users’ information for your organization.
View account users, groups and group members
Allows Dash to access group information for your organization.

Crawling strategy and performance

  • Content sync begins immediately after establishing a connection, to ensure you can start searching right away, prioritizing the most relevant data.
    • “Recent/latest items" refer to content that a user has interacted with through actions such as preview, upload, create, comment, open, modify/update, share, and shared-with-me.
  • Incremental sync occurs every 2 hours.

User requirements

The user must have a Smartsheet account to connect to.

How to connect Smartsheet to Dropbox Dash

  1. Open Dropbox Dash.
  2. Click Apps near the bottom of the left sidebar.
  1. Scroll down to the section All and find the Smartsheet app.
  2. Click the “+” (plus symbol) on the right to connect the app.
  1. You’ll be prompted to sign in to your Smartsheet account. Enter your login credentials, or select an account to connect to Dash.
  1. You’ll be presented with the permissions required by Dash. Click Allow to continue.
  1. If the connection’s successful, you’ll see a message at the bottom of the page, confirming that Smartsheet was connected.

Connected apps

  1. To check your connected apps, open Dropbox Dash.
  2. Click Apps near the bottom of the left sidebar. You should now see Smartsheet under the Added section.

How to connect Smartsheet to Dash via desktop app

  1. Use Control-E (Windows) or Command-E (macOS) to open the Dash app.
  2. Click your avatar (profile picture or initials) in the bottom-left corner.
  1. Click Apps.

Using the Dash integration
