How to set up the Dropbox Dash connector for Jira

Overview

The Dropbox Dash connector for Jira allows users to search for and receive answers about their content on Dash. Users can get answers to their queries directly from Dash or access their content on Jira, redirected from Dash results with a simple click. By setting up the Dropbox Dash connector for Jira, administrators enable sync of an organization’s Jira contents with Dash.

Service account requirements

The Dropbox Dash connector for Jira relies on a Jira administrator authenticating and authorizing a company-level connector between a company’s Jira platform and Dropbox Dash. As a better security practice, and to avoid disruption between the Jira platform and Dash integration (for instance in the event of an admin leaving the company), it’s strongly recommended to create a non-human admin service account in Jira specifically used to integrate with Dash.

How to create a new admin service account in Jira for the Dropbox Dash integration

Before creating a Jira account for the service account to be used with Dash, ensure that a corresponding email address exists for user svc-dropboxdash-jira (e.g. svc-dropboxdash-jira@company_domain_name.com), which can be used to log in and receive emails to accept and complete the Dropbox account flow.
  1. Log in to Jira as an admin.
  1. Click the   (settings) icon in the upper right to open the Jira administration menu.
  1. Click User management in the dropdown.
  1. Click Directory.
  2. Click Users.
  3. Click the Invite users button.
  1. Type the email address for the service account user in the Invite by email address… field.
The service account's access and control scope should be limited to Jira. If you have multiple products with Jira, you'll need to set the Product roles for those that aren't Jira specific to None.
  1. In the Product roles dropdown menu for Jira, click the checkboxes for User, Product admin, and User access admin.
    1. User: This privilege allows access to the service account's information, such as email.
    2. Product Admin: This privilege grants administrative capabilities over the service account.
    3. User Access Admin: This privilege enables the service account to manage permissions, specifying which accounts can access each piece of content.
    4. Org Admin: This privilege allows the service account to fetch the content itself.
  1. Click the Invite users button.
    1. You’ll be returned to the Atlassian admin page for Users and should see svc-dropboxdash-jira as an invited user.
  1. Open the email account for user svc-dropboxdash-jira and locate the invitation to Jira.
  2. Click the Accept Invite button.
  1. In the pop-up window, type svc-dropboxdash-jira in the Full name field.
  2. Type a new password in the Password field.
    1. Note the password somewhere safe, such as your password management vault.
  3. Click the Continue button.
  1. You'll be asked to select a role that best describes your team's work. Select an option appropriate from the dropdown menu and click Continue.

How to connect Jira to Dropbox Dash using the service account

  1. Log in to dropbox.com with your admin credentials.
  2. Click Admin console in the left sidebar.
  1. Click Dash in the left sidebar.
  2. Click Apps.
  3. Click the More apps tab.
  1. Click +Add to the right of the Jira connector.
  1. Click Continue.
    1. In the pop-up menu, you’ll be prompted to authenticate with Jira.
  1. Type the email address for the svc-dropboxdash-jira service account.
  2. Click the Continue button.
  1. Type the password for the svc-dropboxdash-jira service account.
  2. Click the Log in button.
If you require multi-factor authentication (MFA) for accounts in your environment, you may be prompted for additional authentication associated with the service account.
  1. Click Accept.
    1. You’ll see a confirmation pop-up that Jira was connected.
  1. Click the Your apps tab.
  2. You should now see Jira added as a connector.

Congratulations! You’ve now successfully connected Jira as a company connector to Dropbox Dash.
